Terms of Service

Last updated: 9 October 2026

Agreement and authority

These terms govern your use of Sampleory. Review them and thePrivacy Policy before creating an account or buying a subscription. If you act for an organization, you must have authority to bind it. You must be legally capable of entering this agreement.

What the service does

Sampleory helps small manufacturers locate physical reference and master samples and record their identity, review state and location. It is not a QMS, LIMS, ERP, laboratory system, quantity inventory tool or legal retention adviser. You decide your review, approval and disposition policies.

Your workspace and content

You are responsible for the information you enter, lawful access to the content you upload, and who you invite. Owners manage billing and membership; members manage sample records. Do not upload malicious content or attempt to access another workspace. No customer content is public merely because it has a QR label.

You retain ownership of your content. You grant the operator permission to store, copy, transmit and display it only as needed to provide, secure and maintain the service, follow your instructions and meet legal duties. This permission does not authorize selling your content.

Keep account credentials confidential and report suspected unauthorized access promptly. Do not interfere with security, circumvent limits, upload unlawful material or use the service to infringe another person's rights.

Plans and billing

Free supports 25 non-deleted records on one local device. Paid supports 500 non-deleted records and up to 3 people in one cloud workspace, for $4.99 per month or $49 charged annually, plus applicable taxes. Archived and disposed records count. Storage and photo limits are shown on the pricing page. There are no automatic overage charges.

Stripe-hosted Checkout confirms the chosen recurring price. The annual price is an annual charge. Cancel through the Customer Portal; access normally continues to the end of the paid period. Changes to advertised prices do not silently alter an existing subscription. Subscriptions renew for the selected billing interval until canceled. Cancel before the next renewal to stop future charges. Any plan change and associated charge must be confirmed in the billing interface before it takes effect.

Cancellation stops future renewal; it does not automatically refund a completed billing period. Contact support about billing errors or refund requests. Mandatory refund, withdrawal and other consumer rights remain unaffected. No additional discretionary refund promise is made here.

Offline use and backups

Local browser data can be cleared or evicted. Export backups regularly and verify they can be restored. Paid cloud sync is not itself backup; separate snapshots have a seven-day retention window. Offline paid editing requires periodically refreshed access. A disconnected device cannot receive immediate membership-revocation instructions.

Cancellation and deletion

You may permanently delete individual samples after confirmation. This removes the record and history from the active workspace and prevents restoration from Trash. Previously retained cloud backups and photo bytes expire under the backup retention schedule. Copies already exported or held on disconnected devices cannot be remotely erased.

After paid access ends, the owner has 30 days to read and export cloud content. Live content is purged after this window; retained snapshots may persist for seven further days. Trash has a 30-day restore window subject to limits. Account deletion revokes sessions and removes live data through the documented retention process, with backups expiring within seven days. Necessary billing records are separate.

Availability and support

Network access, browser permissions and third-party services affect some features. Do not rely on the application as the sole evidence for a regulatory or legal decision.

Suspension and termination

Access may be restricted where reasonably necessary to address a security risk, unlawful activity, material breach or unpaid fees. Where practicable, we will explain the issue and provide an opportunity to resolve it. Export and deletion remain subject to the retention periods above and applicable law. You may stop using the service at any time; cancel any subscription separately to stop renewal charges.

Responsibility and limitations

Sampleory does not guarantee uninterrupted or error-free operation, browser storage retention, camera compatibility, printer availability or regulatory suitability. You remain responsible for checking physical samples, labels, records and backups before relying on them.

To the extent permitted by applicable law, the service is provided as available without additional implied warranties. Nothing in these terms excludes liability for fraud, deliberate misconduct, death or personal injury caused by negligence, or any liability or statutory guarantee that cannot lawfully be excluded or limited. Your mandatory legal remedies remain available.

Changes and disputes

Updated terms will be published with a revision date. Material changes require appropriate notice and, where applicable, renewed agreement. Changes do not retrospectively remove accrued rights. Contact support first if you have a concern; this does not prevent seeking lawful remedies or extend a statutory deadline. These terms do not require arbitration, waive collective remedies or restrict mandatory local court rights.

If a provision is unenforceable, the remaining provisions continue to the extent permitted by law. Failure to enforce a provision immediately does not waive the right to enforce it later.
